Traclin Pte Ltd ("Traclin", "we", "us") operates the Traclin service at traclin.com and app.traclin.app.

2. What Traclin does, and why that matters for your data
Traclin is a business-to-business service. Our customers ("Hosts") are companies that place a Traclin prompt on their website. A person visiting a Host's website ("Visitor") may choose to submit their work email address or their company website address. Traclin then reviews publicly available information about that company and generates a page describing what the Host's product could do for that business.
This creates two different relationships, and your rights depend on which one applies to you.
When you are a Host user — someone who signs up, logs in and uses the Traclin dashboard — Traclin is the data controller for your account information. This policy governs that processing.
When you are a Visitor — someone who submits an email address or website through a Traclin prompt on a Host's site — the Host is the data controller. Traclin acts as a data processor on that Host's behalf and processes the data only on their documented instructions. If you want your data corrected or deleted, contact the Host whose website you used. You may also contact us at info@traclin.com and we will forward your request to them.

We do not ask Visitors for special category data, and Hosts must not configure prompts that solicit it.
Publicly available website content. To generate a page, Traclin retrieves and analyses content published on the website submitted by the Visitor. We collect only what is publicly accessible, we identify our crawler in the user-agent string, and we do not attempt to access password-protected or restricted areas. If a company does not want its website analysed by Traclin, it can contact us at info@traclin.com and we will add it to an exclusion list.
4. Automated processing and artificial intelligence
Traclin uses large language models to analyse website content and to write the text on generated pages. Specifically:
- Content is sent to third-party AI providers for processing under contracts that prohibit them from using it to train their models.
- Generated text is restricted to facts a Host has explicitly approved, and every generated page passes an automated verification step before publication.
- No decision producing legal or similarly significant effects on any individual is made solely by automated means. A generated page is marketing material, not a decision about a person.
Generated pages may nonetheless contain errors. They are not offers, quotations or binding commitments.
5. Who we share data with
We share personal data with:
- Infrastructure and hosting providers, including our database and application hosting partners, to run the service.
- AI processing providers, to generate and verify page content.
- Payment providers, to take subscription payments. We do not store full card numbers.
- Email and communication providers, to send transactional messages.
- Professional advisers, acquirers or authorities, where required by law or in connection with a corporate transaction.

We do not sell personal data.
6. International transfers
Traclin is established in Singapore and our providers may process data in Singapore, the European Economic Area, the United Kingdom and the United States. Where we transfer personal data out of the EEA or the UK, we rely on Standard Contractual Clauses approved by the European Commission, together with the UK Addendum where relevant, and we assess the protections available in the destination country. You can request a copy of the relevant safeguards by writing to info@traclin.com.
7. How long we keep data
- Host account data: for the life of the account, then up to 12 months after closure, except where longer retention is required for tax or accounting purposes.
- Uploaded documents and extracted facts: until the Host deletes them or closes the account.
- Visitor data and generated pages: according to the retention period configured by the Host, and in any case no longer than 24 months from creation unless the Host instructs otherwise.
- Logs: up to 12 months.
- Consent records: as long as needed to demonstrate compliance.
8. Your rights
If you are in the EEA or the UK you have the right to access your data, correct it, have it erased, restrict or object to its processing, receive it in a portable format, and withdraw consent at any time without affecting processing already carried out. If you are in Singapore, the PDPA gives you rights of access and correction, and the right to withdraw consent.
Write to info@traclin.com to exercise any of these. We will respond within one month. If you are unhappy with our response you may complain to your local supervisory authority, or in Singapore to the Personal Data Protection Commission.
9. Security
We use encryption in transit and at rest, role-based access controls, database-level tenant isolation so that no Host can access another Host's documents, facts or leads, and least-privilege access for our own staff. No system is completely secure, but we will notify you and the relevant authority of a personal data breach where the law requires it.
10. Children
Traclin is a business tool and is not directed at anyone under 18. We do not knowingly collect their data.
11. Changes
We will post any changes on this page and update the date above. If the changes are significant we will notify Hosts by email before they take effect.
